Who we are

Mindlabs Media is a creative design agency based in Huddersfield, West Yorkshire, with a studio in Highburton, Kirkburton and a workshop in Skelmanthorpe. If you have any questions about how we handle your information, email hello@mindlabs.media or call 01484 975748.

What we collect

When you fill in the enquiry form on this site we collect your name, email address, telephone number if you give one, whatever you write in the message, and any files you choose to attach. If you become a client we also hold the information needed to do the work and get paid — billing address, purchase order references and project files.

Why we collect it

Solely to reply to your enquiry and, if you go ahead, to deliver the work and keep proper business records. The lawful bases we rely on are legitimate interests (responding to an enquiry you initiated), contract (delivering work you have commissioned) and legal obligation (keeping accounting records).

What we do not do

We do not sell, rent or trade your details. We do not add you to a marketing list because you enquired about a job. We do not run advertising trackers, third-party analytics profiling or social media pixels on this website.

Cookies and tracking

This site sets no tracking or advertising cookies of its own. It uses one small piece of browser storage (sessionStorage) purely to remember that you have already seen the opening animation, so it does not replay on every page — that never leaves your device and is discarded when you close the tab. The only third party involved anywhere on the site is Google reCAPTCHA on the enquiry form, described below, which may set its own cookies once it loads.

Spam protection on the enquiry form

The enquiry form is protected by Google reCAPTCHA v3. When you start filling the form in, your browser loads a script from Google which assesses how you interact with the page to judge whether you are a person or a bot. That check involves Google receiving your IP address, information about your browser, and any cookies Google has already set; it is subject to Google's own privacy policy and terms. We use it because without it the form fills up with automated rubbish. It only loads once you begin filling the form in — browse the rest of the site, or the contact page without touching the form, and nothing is requested from Google at all. If you would rather not use it, ring or email us instead and it never loads.

Who else sees your data

Our website host, our email provider, Google (for the reCAPTCHA check described above) and our accountant, each only so far as they need to in order to provide their service to us. All are UK or EU based or operate under an appropriate international transfer safeguard. We do not share your details with anyone else without asking you first.

How long we keep it

Enquiries that do not become projects are deleted after twelve months. Client records are kept for seven years after the last piece of work, as required for tax purposes. Project artwork is archived indefinitely so we can reprint or re-supply for you years later — tell us if you would rather we did not.

Your rights

You can ask us for a copy of what we hold, ask us to correct it, ask us to delete it, or object to how we are using it. Email us and we will deal with it within one month. If you are not happy with our response you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If we change how we handle personal information we will update this page and change the date below.

A note on completeness

This notice describes our actual practice in plain English. If your organisation requires a formal data processing agreement or has specific compliance requirements, get in touch and we will put one in place.
